Position: Planner / Administrative Assistant
The Planner / Administrative Assistant supports our audit planning and certification operations by coordinating audit schedules, managing client communication, and maintaining accurate data across platforms such as Master Planner, CUSI/ICU, Power BI, and T‑Sheets. This role ensures smooth scheduling with clients and auditors, updates planning systems, prepares reports, and assists with administrative tasks that keep the certification process running efficiently. This is an in‑office position; only local applicants will be considered.
Essential Tasks/ Key Responsibilities
- Schedule audits, update client projects, and maintain accurate calendars in Master Planner.
- Conduct weekly client follow-ups, send confirmations, manage rescheduling, and communicate cancellations.
- Coordinate availability with freelance auditors and other CU offices.
- Maintain planning data in CUSI/ICU, including inspections, auditor rotations, and renewal alerts.
- Update planning sheets, Power BI entries, accounting-related information, and KPI data.
- Prepare monthly capacity lists, weekly reports, and support invoicing coordination.
- Manage logistics for auditors, track tasks in T‑Sheets, and support internal team communication.
Qualifications
Minimum Requirements:
- Bachelor’s degree in Business Administration, Supply Chain, Logistics, or related field.
- 2–3 years of experience in certification, auditing, or compliance environment.
- Proficiency with planning/scheduling tools (Master Planner, T‑Sheets, Power BI).
- Strong organizational, communication, and multitasking abilities.
- Experience coordinating with external contractors or freelancers.
- Valid U.S. work authorization and driver’s license.
Preferred:
- Experience working across time zones or in international settings.
- Familiarity with Power BI, data analysis, and basic accounting tasks.
- Bilingual (Spanish preferred).
Physical Requirements:
- Ability to work at a computer for extended periods and move within office environments.
- Occasional lifting of items up to 20 lbs.
